Moving in a Lead

Storable CRM

This guide explains how to calculate the total move-in cost, the first step in moving into a Lead. This provides the Lead with the total amount required to move into a unit before progressing to payment.

Note: Depending on your Facility Management System (FMS), you may have options different from those shown below. Please check with your management team for specifics.

Moving in a Lead (Accounts not integrated with Storable Edge)

Step 1: Calculating Move-In Cost

From an active Lead card, click Move-In.

On the Move-In screen, select the move-in date and insurance options, confirm the unit information is correct, then click Calculate move-in cost.

Once you’re finished calculating the move-in cost, click Next to proceed to the Tenant Info screen.

Step 2: Entering Tenant Information

Note: The Lien Holder and Stored Vehicle tabs are not available with your FMS.

Rental Summary Section

This section includes the move-in date, insurance type, unit number, and other relevant details.

Other Info Section

  • Gate Code - Enter the gate code. The code can be between 1 and 25 digits long.

  • Access Hours - Click the dropdown to adjust access hours.

  • Keypads - Click the dropdown to adjust which keypads the Tenant can open. Depending on how your facility is designed, you may have different options for providing access to those areas.

Information Tabs

Note: Depending on your FMS, you may not have access to all the information tabs shown below.

Note: Each tab may have required fields based on your FMS integration. You can configure required fields by editing your move-in options.

Tenant Info tab

Enter all available tenant information.

Note: Depending on your FMS, you may not have access to the tenant's driver’s license information. Some fields may be automatically required based on your FMS integration; however, you can configure required fields by editing your move-in options.

Alternate Contact tab

Enter your tenant’s alternate contact information. Required fields are framed in red. Some fields may be automatically required based on your FMS integration; however, you can configure required fields by editing your move-in options.

Note: Depending on your FMS, this tab may not be available.

If you ask the tenant to provide an alternate contact and they decline, select No, then click the box next to Tenant declined to provide alternate contact.

More Info tab

This section includes tax-exempt status, access to vehicles, and military information. Some fields may be automatically required based on your FMS integration; however, you can configure required fields by editing your move-in options.

Back or Next

  • Back - Click to return to the Move-In Cost.

  • Next - Click to proceed to Payment.


Step 3: Taking Payment

Note: You can accept card, cash, or check payments.

Credit payments

  • Card information - Enter the credit or debit card information. Required information includes card number, expiration date, security code, and the billing address.

  • Auto-Pay - Note: Auto-pay is available only when paying by credit or debit card. By default, this option is unchecked. If left unchecked, you will be prompted to enroll in auto-pay after clicking Pay & Move-In.

  • Pay & Move-In - This becomes active when all card information has been entered. Click to proceed to the next step in the move-in process, sending out the receipt.

Cash Payments

  • Cash - Click if the Customer would like to pay with cash.

  • Pay & Move-In - After taking the cash payment, click to proceed to the next step in the move-in process, sending out the receipt.

Check Payments

  • Check - Click if the Customer would like to pay with a check.

  • Check number - Enter the check number.

  • Pay & Move-In - This becomes active when the check number has been entered. Click to proceed to the next step in the move-in process, sending out the receipt.

Step 4: Email, Text, or Print Receipt

Once you click Pay & Move In above, you can email or text the receipt to your tenant and print it.

Email receipt

Make sure you add a Subject line, edit the default email message if required, and enter your tenant’s email address. Click Send, and you’ll receive a Receipt Sent confirmation. Click Proceed to eSign for the final move-in step.

Text receipt

Click the Text header to send an SMS/text receipt to your client. You can edit the default text message. Enter your tenant’s mobile number and click Send. You’ll receive a Receipt Sent confirmation. Click Proceed to eSign for the final move-in step.

Print receipt

Click Print to download the receipt to your computer. After downloading the receipt, you can print it. Click Proceed to eSign for the final move-in step.

Step 5: Complete eSign Documents

You can email or text the eSign documents to your tenant. Both options provide a link to view and print the documents. The print option is shown below; the only difference from the text option is that no subject line is required, and you’ll enter a mobile number instead of an email address.

To email eSign documents, select a message template (you can edit it if necessary) and enter a subject line. Enter the tenant’s email address and click Send. Once you receive the Message Sent confirmation, a link to the eSign documents will appear. Click the link to view, print, or save the file.

Click Done to complete the move-in process.

Moving in a Lead (Accounts integrated with Storable Edge)

Step 1: Calculating Move-In Cost

From an active Lead card, click Move-In.

On the Move-In screen, select the move-in date and insurance options, confirm the unit information is correct, then click Calculate move-in cost.

If private insurance is selected, you’ll enter the insurance information, including:
- Policy number (required)
- Effective date (required)
- Policy expiration (required)
- Insurance type
- Coverage limit
- Provider name
- Goods covered

Once you’re finished calculating the move-in cost, click Next to proceed to the Tenant Info screen.

Step 2: Entering Tenant Information

Rental Summary Section

This section includes the move-in date, insurance type, unit number, and other relevant details.

Other Info Section

  • Gate Code - Enter the gate code. The code can be between 1 and 25 digits long.

Tenant Info tab

Enter all available tenant information.

Note: Depending on your FMS, you may not have access to the tenant's driver’s license information. Some fields may be automatically required based on your FMS integration; however, you can configure required fields by editing your move-in options.

Edge-integrated facilities include Rental Review, which compares your prospective tenant to existing tenant records and presents potential matches with tenants flagged for Rental Review in Edge. This enables you to make more informed decisions during move-ins, minimizing risk and safeguarding your assets. For more information on Rental Review, including how to enable it, please see our Edge help article: Rental Review.

As the Tenant Info screen loads, you’ll see the Rental Review search processing.

If the prospective tenant has been flagged for Rental Review in Edge, Rental Review will present their information (including any associated names, addresses, and other details), along with the reason the move-in candidate was flagged. In the example below, the prospective tenant’s unit had property damage.

Note: Rental Review results may refresh If any of the following entries on the Tenant Info screen are changed:

  • First name

  • Last name

  • Email

  • Primary Phone

  • Mobile Phone

  • Address

Note: If you’re unsure whether to proceed with any prospective tenant flagged for Rental Review, contact your manager.

Alternate Contact tab

Enter your tenant’s alternate contact information. Required fields are framed in red. Some fields may be automatically required based on your FMS integration; however, you can configure required fields by editing your move-in options and configuring lead required fields within Edge.

If you ask the tenant to provide an alternate contact and they decline, select No, then click the box next to Tenant declined to provide alternate contact.


Lien Holder tab

Enter your tenant’s lien holder information. Some fields may be automatically required based on your FMS integration; however, you can configure required fields by editing your move-in options and configuring lead required fields within Edge.


Stored Vehicle tab

Enter your tenant’s vehicle information. Required fields are framed in red. Some fields may be automatically required based on your FMS integration; however, you can configure required fields by editing your move-in options and configuring lead required fields within Edge.

If your tenant isn’t storing a vehicle, select No.


More Info tab

This section includes tax-exempt status, access to vehicles, and military information. Some fields may be automatically required based on your FMS integration; however, you can configure required fields by editing your move-in options and configuring lead required fields within Edge.


Back or Next

  • Back - Click to return to the Move-In Cost.

  • Next - Click to proceed to Payment.


Step 3: Taking Payment

  • Pay & Move-In - This becomes active when the check number has been entered. Click to proceed to the next step in the move-in process, sending out the receipt.


Step 4: Email, Text, or Print Receipt

Once you click Pay & Move In above, you can email or text the receipt to your tenant and print it.

Email receipt

Make sure you add a Subject line, edit the default email message if required, and enter your tenant’s email address. Click Send, and you’ll receive a Receipt Sent confirmation. Click Proceed to eSign for the final move-in step.

Text receipt

Click the Text header to send an SMS/text receipt to your client. You can edit the default text message. Enter your tenant’s mobile number and click Send. You’ll receive a Receipt Sent confirmation. Click Proceed to eSign for the final move-in step.

Print receipt

Click Print to download the receipt to your computer. After downloading the receipt, you can print it. Click Proceed to eSign for the final move-in step.


Step 5: Complete eSign Documents

You can email or text the eSign documents to your tenant. Both options provide a link to view and print the documents. The print option is shown below; the only difference from the text option is that no subject line is required, and you’ll enter a mobile number instead of an email address.

To email eSign documents, select a message template (you can edit it if necessary) and enter a subject line. Enter the tenant’s email address and click Send. Once you receive the Message Sent confirmation, a link to the eSign documents will appear. Click the link to view, print, or save the file.

Click Done to complete the move-in process.
