Create a complete walk-in lead record so your team can capture customer details, quote units accurately, and move quickly to reservation or move-in.
Quick Start:
Open a new lead and confirm the correct location.
Complete the required script questions and lead details.
Select the customer’s unit and choose Reservation if needed.
Add notes, confirm text permission if prompted, and save the lead.
Note: Some options in this workflow depend on management-controlled settings, including reservation payments, text permission prompts, script configuration, move-in settings, and location detail tabs.
Open and Confirm the Lead Location

Click New (A) to manually open a new lead card.

In the pop-up, click the Location dropdown (B) to view available locations.

Select the correct Location (C) for the lead.

Click Confirm (D) to set the lead’s location.
Complete the Script and Lead Details
Note: The script is customized by your management team and may look different from this example. You may need to scroll to find Date Needed.
Enter the customer’s Name (E). If a matching name appears, select it to merge this new lead card with an existing record.

Answer the required questions in Script (F). Fields marked with red asterisks must be completed.

Review Date Needed (G). It defaults to today’s date. Use Calendar to change it if needed.

Review the lead details section and update the fields your process requires:
Use Exclusion (H) and select None if the lead should be excluded from follow-up events.
Choose an option from the Ad Source dropdown (I).
Review the Inquiry Type dropdown (J), which may already be populated by your management settings.
Confirm Date Needed (K). Updating it with the calendar icon also updates Date Needed in the script.
Review Expiration (L), which is the date the lead will be canceled from follow-up. Canceled leads remain searchable.
Answer Did You Receive Permission to Send Texts (M). A response is required before you can save the lead.
Select a Unit For the Lead
Note: The first unit you select is highlighted in dark blue and transmitted to your management software. Additional selected units are highlighted in light blue and are not transmitted to your property management software.
Use the Inventory dropdown (N) to view all inventory or filter by unit type.
Click Filter (O) to show only available units.
Review Unit Description (P) for unit size and type. Click the unit size to search for specific units at the location.
Check Availability (Q) to see the number and percentage of available units for that size.
Click Search (R) or the magnifying glass to check availability for that unit at other locations.
Review Rate (S), the advertised standard price for the unit.
If allowed by your settings, update Adj Rate (T). Click % to view the allowed adjustment range. A modified adjusted rate overrides Rate.
Review Tax (U) and Total (V).
If applicable, choose a promotion from the Special dropdown (W).

Select the unit by clicking the Select Unit checkbox (X) next to the customer’s preferred unit.
Note: Make sure only one unit is selected when creating a reservation. Your dropdown options may vary based on your management team’s settings.
Open Lead Type dropdown (Y) and choose Reservation to create a reservation.
Take a Reservation Payment If Enabled
Note: This step applies only if your management team has enabled reservation payments.
After selecting Reservation, click Pay (Z) to enter payment information.
Note: These tabs and their contents may be customized by your management team.
Click Get Directions (AA) to open an interactive Google map for the facility.

Click Send Directions (BB) to send turn-by-turn directions to the customer by text or email.
Add Notes and Save The Lead
When you finish the interaction, click New Note (CC) to enter a summary of the conversation.
Use the Quick Responses dropdown (DD) to insert a standard response.

Click Add (EE) to save the note to the tenant’s account.
Note: Depending on your company’s Move In settings, the Add button may not appear. In that case, you can save a single note for new lead move-ins. Multiple notes are still available for existing leads.

Choose one of the final actions:
Click Move-In (FF) to begin the move-in process.
Click Save (GG) to save the information entered on the lead card.
Before saving the lead card, click Yes for Text Permission to confirm that the customer gave permission to receive texts.
Note: This step applies only if your management team has enabled text permission prompts. Depending on your company’s settings, this prompt may appear on the main lead card and require a response before the lead can be saved. Depending on your company’s Text Permission settings, the lead card may already show the prompt Did You Receive Permission to Send Texts? A response is required before you can save the new lead.
