Move in a Lead

Storable CRM

Use this workflow to quote the full move-in amount, collect required tenant details, take payment, and complete move-in paperwork accurately.

Quick Start:

  1. Open an active lead and start the move-in flow.

  2. Calculate charges and review the total due.

  3. Enter tenant details and any required supporting information.

  4. Collect payment and send or print the receipt.

  5. Send eSign documents and finish the move-in.


Prerequisites:

  • You must be able to open and update an active lead.

  • Your available tabs, required fields, and insurance options depend on your Facility Management System (FMS) configuration.

  • If your account is integrated with Storable Edge, required fields can also be controlled in Edge's lead required field settings.

  • If you are unsure which options apply at your facility, confirm with your management team before proceeding.

Depending on your Facility Management System (FMS), you may see options different from those shown below.

Move-In Workflow for Sitelink-Integrated Accounts

Calculate and Review Move-In Cost

  1. From an active lead card, click Move-In to begin the move-in process.

  2. On the Move-In screen, select the move-in date and insurance options, confirm the unit details, and click Calculate move-in cost.

  1. Review the total move-in cost, then click Next to continue to Tenant Info.

Enter Tenant Information

  1. Review the rental summary to confirm the move-in date, insurance type, unit number, and other move-in details.

  2. Enter any available information in the Other Info section:

    1. Enter a gate code. The code can be between 1 and 25 digits.

    2. Use the Access Hours dropdown to set access hours.

    3. Use the Keypads dropdown to choose which keypads the tenant can open.

  3. Complete the available information tabs as needed.

    The Lien Holder and Stored Vehicle tabs are not available with this FMS.

    Each tab may include required fields based on your FMS integration. You can configure required fields by editing your move-in options.

  4. Complete the Tenant Info tab by entering all available tenant details.

    Depending on your FMS, driver’s license fields may not be available. Some fields may be automatically required based on your FMS integration. You can configure required fields by editing your move-in options.

  5. Complete the Alternate Contact tab, if available, by entering the tenant’s alternate contact details.

    Required fields are framed in red. Some fields may be automatically required based on your FMS integration. You can configure required fields by editing your move-in options.

    Depending on your FMS, this tab may not be available.

  6. If the tenant declines to provide an alternate contact, select No and then select Tenant declined to provide alternate contact.

  7. Complete the More Info tab, if needed, for tax-exempt status, vehicle access, and military information.

    Some fields may be automatically required based on your FMS integration. You can configure required fields by editing your move-in options.

  8. Click Back to return to move-in cost, or click Next to continue to Merchandise.

Enter Merchandise Info

Notes:

  • You will only see this section if your organization has Merchandise enabled.

  • Itemized merchandise items will appear on the move-in receipt.

  • When any merchandise is sold, a note is automatically added to the customer record and the rental notification email.

  • You can track and analyze sold merchandise with Merchandise Reports.

  • For more information on configuring your merchandise settings within Sitelink, see our help article.

  1. In the Merchandise section, you can add supplies to ensure your tenants have an optimal move-in experience. You can search for available merchandise in the Search box. If you'd like to add merchandise for your tenant, click the plus sign next to the item. In the example below, the tenant will receive 2 dust covers.

  1. Once you add the items, they appear in the cart. You can increase or decrease the quantity as needed by clicking the minus (-) or plus (+) signs next to the item's quantity. Click Next to proceed to the payment.

Note: You can add a Merchandise Note for additional information. In the example below, items are summarized for a move-in kit. To add a Merchandise Note, see our help article: Editing Move-in Options.

Take Payment

You can accept card, cash, or check payments.

Credit Payment

  1. Enter the card details, including card number, expiration date, security code, and billing address.

  2. Decide whether to enable Auto-Pay. This option is available only for credit or debit card payments. If you leave it unchecked, you will be prompted to enroll after clicking Pay & Move-In.

  3. When all required fields are complete, click Pay & Move-In to process the payment and send the receipt.

Cash Payment

  1. Select Cash if the customer is paying with cash.

  2. After receiving the payment, click Pay & Move-In to continue and send the receipt.

Check Payment

  1. Select Check if the customer is paying by check.

  2. Enter the check number.

  3. Click Pay & Move-In to continue and send the receipt.

Send or Print the Receipt

  1. After you click Pay & Move-In, choose how you want to deliver the receipt.

  2. To email the receipt, enter a subject line, update the default email message if needed, enter the tenant’s email address, and click Send. After you receive the Receipt Sent confirmation, click Proceed to eSign.

  3. To text the receipt, open the Text section, update the default text message if needed, enter the tenant’s mobile number, and click Send. After you receive the Receipt Sent confirmation, click Proceed to eSign.

  4. To print the receipt, click Print to download it, print it as needed, and then click Proceed to eSign.

Complete eSign Documents

  1. Choose whether to send eSign documents by email or text. Both methods provide a link the tenant can use to view and print the documents.

  2. To email the documents, select a message template, update it if needed, enter a subject line, enter the tenant’s email address, and click Send.

  3. After you receive the Message Sent confirmation, use the eSign link to view, print, or save the file.

  4. Click Done to complete the move-in.

Move-In Workflow for Edge-Integrated Accounts

Calculate and Review Move-In Cost

  1. From an active lead card, click Move-In to begin the move-in process.

  2. On the Move-In screen, select the move-in date and insurance options, confirm the unit details, and click Calculate move-in cost.

  3. If private insurance is selected, enter the required insurance details.

    Private insurance details can include policy number, effective date, policy expiration, insurance type, coverage limit, provider name, and goods covered.

  4. Review the total move-in cost, then click Next to continue to Tenant Info.

Enter Tenant Information

  1. Review the rental summary to confirm the move-in date, insurance type, unit number, and other move-in details.

  2. Enter any available information in the Other Info section:

    1. Enter a gate code. The code can be between 1 and 25 digits.

    2. Use the Access Hours dropdown to set access hours.

    3. Use the Keypads dropdown to choose which keypads the tenant can open.

  3. Complete the available information tabs as needed.

    Each tab may include required fields based on your FMS integration. You can configure required fields by editing your move-in options and configuring lead required fields within Edge. Depending on your FMS, you may not have access to every information tab shown below.

  4. Complete the Tenant Info tab by entering all available tenant details.

  5. Review any Rental Review results presented on the Tenant Info screen. Edge-integrated facilities include Rental Review, which compares the prospective tenant to existing tenant records and highlights potential matches or flagged tenants.

    As the Tenant Info screen loads, Rental Review begins processing automatically.

  6. If Rental Review flags the prospective tenant, review the details and the reason for the flag before proceeding.

    In the example shown, the prospective tenant’s unit had property damage.

    Note: Rental Review results may refresh if you change first name, last name, email, primary phone, mobile phone, or address. If you are unsure whether to proceed with a flagged prospective tenant, contact your manager.


  7. Complete the Alternate Contact tab by entering alternate contact details, if required.

    Some fields may be automatically required based on your FMS integration. You can configure required fields by editing your move-in options and configuring lead required fields within Edge.

  8. If the tenant declines to provide an alternate contact, select No and then select Tenant declined to provide alternate contact.

  9. Complete the Lien Holder tab, if needed, by entering lien holder information.

    Some fields may be automatically required based on your FMS integration. You can configure required fields by editing your move-in options and configuring lead required fields within Edge.

  10. Complete the Stored Vehicle tab, if needed, by entering vehicle information.

    Required fields are framed in red. Some fields may be automatically required based on your FMS integration. You can configure required fields by editing your move-in options and configuring lead required fields within Edge.

    If the tenant is not storing a vehicle, select No.

  11. Complete the More Info tab, if needed, for tax-exempt status, vehicle access, and military information.

    Some fields may be automatically required based on your FMS integration. You can configure required fields by editing your move-in options and configuring lead required fields within Edge.

  12. Click Back to return to the move-in cost, or click Next to continue to the Merchandise section.

Enter Merchandise Info

Notes:

  • You will only see this section if your organization has Merchandise enabled.

  2. To email the receipt, enter a subject line, update the default email message if needed, enter the tenant’s email address, and click Send. After you receive the Receipt Sent confirmation, click Proceed to eSign.

  3. To text the receipt, open the Text section, update the default text message if needed, enter the tenant’s mobile number, and click Send. After you receive the Receipt Sent confirmation, click Proceed to eSign.

  4. To print the receipt, click Print to download it, print it as needed, and then click Proceed to eSign.
