This workflow helps you collect customer payments while enrolling them in automatic payments and delivering receipts in the customer’s preferred format.
Quick Start:
Open the customer’s account and review the outstanding balance.
Open the payment window, confirm the amount, and choose the payment method.
Submit the payment, confirm automatic payments if requested, then send or print the receipt.
Process a Customer Payment

Access the payment window. From the customer’s account, click Pay (A) to open the payment window. If the customer has multiple units, you can enter a payment for individual or multiple units at once.

Enter payment information. In the payment window, complete the fields based on how the customer wants to pay:
Use Pre-pay Months (B) (optional) to select the number of months the customer would like to pre-pay. Leave this at zero to pay only the current outstanding balance.
Review or adjust Enter Amount (C). This field automatically shows any past-due balance (plus pre-pay amount, if selected). You can enter a lower amount to process a partial payment, following your company’s partial payment policies.
If applicable, review the Convenience Fee (D) checkbox. It is selected when your company charges a fee for manually entered payments. You can clear this box to waive the fee, following your company’s policies. (If no convenience fee is configured, this option will not appear.)
Click Details (E) to view a breakdown of charges due, if you need more detail.
Use Payment Method (F) to choose how the customer is paying: Credit or Debit Card, Check, or Cash. If paying by check, enter the check number. Credit or debit card is the default method.
When paying by card, use Previous Card (G) (if available) to select a previously used card. The first 12 digits are masked with only the last 4 digits visible.
For card payments, complete Customer/Payment Information (H) with all required payment details.
If the customer wants automatic payments, select Automatic Payment (I) to enroll them in Auto Pay. (This option may not be available, depending on your management settings.)

Submit the payment. After confirming the amount and payment method, click Pay (J) to submit the payment.

Confirm automatic payments (if applicable). If you selected Automatic Payment (I), a confirmation pop-up appears. Click Continue (K) to confirm that you want to enroll the customer in Auto Pay. If the customer declines enrollment at this point, select Decline, then continue to process the payment.

Select receipt delivery options. After the payment is processed, a confirmation notice appears with multiple receipt options. Choose how the customer wants to receive their receipt:
Text (L) is the default method. Confirm the customer’s mobile number or enter a different number, then click Send to text the receipt.
Email (M) sends a copy of the receipt to the customer’s primary email address. Confirm the address or enter an alternate address, then click Send to email the receipt.
Print (N) creates a paper receipt for the customer.
