Customer Card Information

Storable CRM

Use the Customer card to quickly understand each customer's status, communicate effectively, and keep records aligned with your property management software.

Quick Start:

  1. Confirm that your property management software is integrated with Storable CRM and that Customer card data is syncing correctly.

  2. Use the Customer tab to review key contact, unit, and collection details before you call or message a customer.

  3. Add clear notes after each interaction so your team has a complete history of customer communication.

Customer Card Header Tabs

  1. Open the Customer card and select the Lead (A) tab to view the original lead and script information when the customer was created as a lead in Storable CRM.

  2. Select the Customer (B) tab to view and work with all Customer-related information described in this guide.

  3. Select the History (C) tab to review all past communication handled through Storable CRM for that customer.

Note: Starting August 26, 2026, we'll begin archiving records in Storable CRM. As the data archival proceeds, the list will gradually display fewer records. On September 21st, 2026, the History tab will display data for the previous 13 months. This helps ensure faster page loads. Please note, your data isn't deleted from Storable CRM; it will remain safely stored in your system.

Use The Contact Header

Note: The Contact header provides key contact information and is always visible across the Customer, Lead, and History tabs. The same information is also described in the Lead Card Information guide.

  1. Click Search (D) to match incoming calls to existing records or switch to a different Lead or Customer record, especially when they are associated with another location.

  2. Review the customer Name (E) to confirm you are viewing the correct account for searches, collections, and follow-up events.

  3. Check the customer Type (F) label to see whether the person is an orange Customer label or a green Lead label.

  4. Verify the primary Phone (G) number used for all outbound calls and texts, unless you choose a different number from the dropdown.

  5. Use the Phone Dropdown (H) to select additional phone numbers, call or text them, and manage them in Storable CRM as needed.

  6. Click the Phone & Text Icons (I) to quickly call or text the primary phone number or any additional number you select from the dropdown.

  1. Confirm the primary Email (J) address, which is used for all outbound emails unless you choose a different email from the dropdown.

  2. Use the Email Dropdown (K) to access additional email addresses and manage which addresses are available in Storable CRM.

  3. Click the Email Icon (L) to send an email to the primary or selected email address directly from the Customer card.

  4. Check the customer or lead Status (M) to understand payment standing (Current or Delinquent) or lead progress (Active, Rented, or Canceled).

  5. Reference the customer ID (N) field when you need the unique identifier generated by your property management software.

  6. Confirm the customer's location (O) to see which facility the customer is currently renting from.

  7. Click Location Information (P) to view local time, address, website, email, office and access hours, and any other information configured by your management team.

  8. Use Neighbors (Q) to associate a lead with a neighboring location when needed; skip this field for existing customers, because it is not applicable.

Manage Collections on the Customer Card

Note: This section is only relevant if your company uses Storable CRM Collections.

  1. When a manual collection event is scheduled, click Start Collection Event (R) to open the text or email window or to begin a collection call.

  2. Use Additional Contact (S) to choose alternate phone numbers or email addresses from the dropdown if you need to complete the event using different contact information.

  3. Review the Next Event Date & Information (T) field to see the date and type of the next scheduled collection event.

  4. Click Promise To Pay (U) to temporarily pause collection events when a customer has committed to paying on a future date, if this feature is enabled for your account.

Review Unit Details

  1. Use the Unit Description (AA) section to verify the unit number, size, and type (for example, Climate Control or Parking) as configured in your property management software.

  2. Check the unit Status (BB) field to see whether the payment for that unit is Current or Delinquent; each unit can have its own status.

  3. Review the Rent Amount (CC) to confirm the standard recurring monthly rate excluding taxes and fees.

  4. Use the Next Due Date (DD) to know when the next payment is due for the unit.

  5. Check the Last Payment Date (EE) to see the most recent payment received.

  6. Review the Paid To Date (FF) field to confirm the date through which the unit is currently paid.

  7. Use the Days Past Due (GG) value to understand how many days the unit is past due, keeping in mind that Day 0 is the due date and Day 1 is the first day collection events may occur.

  8. Check the Amount Due (HH) to view the unit's total outstanding amount, including any unpaid balances.

  9. Click Pay (II) to take a customer payment for the selected unit.

View Additional Customer Details

  1. Click More Info (JJ) to open additional details made available from your property management software.

  2. Select Exclusion (KK) to view any existing exclusions on the record or to add a new exclusion when appropriate.

Work With Notes on the Customer Card

  1. Use Unit Selection (LL) to select the specific unit the note applies to when a customer has multiple units; skip this step when there is only one unit.

  2. Click New Note (MM) after each interaction to write a customized summary of your conversation or action.

  3. Open the Quick Responses (NN) dropdown to insert a standard, management-created note when a predefined response fits the situation.

  4. Check Urgent (OO) when a note requires immediate attention, so that an email marked URGENT is sent to the location if your setup supports this feature.

  5. Select Add Note To All Units (PP) to apply the same note to all units on the customer's account when they have multiple units, provided your property management software supports this option.

  6. Check Mark As Collection Note (QQ) to identify a new note as related to collections so it appears with a green dollar sign.

  7. Click Add (RR) to save the note to the unit record and send an email with the note to the location when entered by a call center agent.

  8. Scroll through the Notes History (SS) section to review all notes created in Storable CRM, along with notes from your property management software, displayed from most recent to oldest.

  9. Click View More (TT) to expand longer notes that are truncated so you can read the full content.

  10. Use Show More Notes (UU) to load additional notes when the Customer card has more notes than can be displayed at once.

  1. Click Close (VV) to close the current Customer card, which either opens the Interaction card immediately to its left or returns you to the Dashboard if no other cards are open.
