Use customer notes in Storable CRM to create a complete, shareable history of every interaction across your CRM and management software.
Quick Start:
Open the customer record and confirm you are working on the correct unit.
Create a new note that summarizes the interaction, using quick responses and labels as needed.
Review the notes history to confirm that the new note appears correctly.
Expand long notes or show more notes if you need to see additional details.
Close the customer card to return to your dashboard or other interactions.
Add Customer Notes
-
Open the customer record after an interaction and, if the customer has multiple units, use Unit Selection (A) to choose the specific unit you want to update. Notes are unit-specific, so confirm you are applying the note to the correct unit. For customers with only one unit, no selection is required.
When you finish interacting with the customer, click New Note (B) to enter a customized note summarizing the interaction.
If a standard description fits the interaction, use Quick Responses (C) to choose a pre-defined note from the dropdown. These responses are created and maintained by your management team.
When a situation needs immediate attention at the location, select Urgent (D). This label is available to both agents and location users, but when agents check it, the system sends an email to the location associated with the customer record with URGENT at the beginning of the subject line.
For customers with multiple units, select Add Note To All Units (E) to apply the same note across all of the customer’s units and save time. This option may not be available for all property management software integrations.
If the interaction relates to collections, select Mark As Collection Note (F) to clearly identify the note as a collection-related entry. Once saved, the note appears in the history with a green dollar sign. This option may not be available for all property management software integrations.
After you finish composing and labeling the note, click Add (G) to save it to the unit’s record. When a call center agent adds a note, the system also emails the note's content to the customer's location.
Use Notes History (H) to review a chronological list of all notes associated with the customer and unit, including notes added directly in Storable CRM and those coming from your property management software. The most recent notes appear at the top.
For notes that are too long to display fully on the card, click View More (I) to expand and read the entire note.
-
If the customer record contains more notes than can fit on the customer card, click Show More Notes (J) to load and review additional notes.
-
When you are finished reviewing and updating notes, click Close (K) to exit the customer card. If multiple interaction cards are open, the system opens the card immediately to the left of the one you just closed; if this was the only interaction card, you are returned to the dashboard.
