Lead Card Information

Storable CRM

Work efficiently in the Lead Card to review contact details, complete follow-up tasks, capture lead information, and save accurate updates to your management software.

Quick Start:

  1. Open the correct interaction and confirm you are working in the right record.

  2. Review contact details, follow-up timing, and lead information before making updates.

  3. Add notes, review inventory, and complete any location- or move-in-specific actions.

  4. Save your changes so the latest information syncs to your management software.

Open and Navigate the Lead Card

  1. Use Lead (A) to review the original script information when the lead was created in Storable CRM. The main sections in this article are part of the Lead tab.

  2. Use Customer (B) to view customer account information after the lead completes the move-in process.

  3. Use History (C) to review past communication handled through Storable CRM.

Review Contact Information

The contact header remains visible across the Greeting, Lead, Customer, and History tabs. This information is also available in the Customer card.

  1. Use Search (D) when matching incoming calls to existing records, and you need to change the record you are working with.

  2. Review the contact details shown in Name (E), Type (F), Primary Number (G), Primary Email Address (J), Status (M), and Location (N).

  3. Select Phone (H) to view additional phone numbers associated with the account.

  4. Select Phone (I) or Text (I) to call or text the lead’s primary number.

  5. Select Email (K) to view additional email addresses associated with the account.

  6. Select Email (L) to email the lead’s primary address.

  7. Select Location Information (O) to review local time, address, website, email address, office hours, access hours, and any additional management notes.

  8. Use Neighbors (P) to search nearby locations and transfer the lead when needed.

Manage Follow-up

  1. Select Start A Manual Follow-up (Q) to begin the scheduled follow-up event. This may be a call, email, or text message.

  2. Select Dropdown Options (R) to choose additional contact information, when available.

  3. Review Next Follow-up (S) to confirm the date of the next scheduled event.

  4. Hover over Information (T) to view details about the next follow-up event, including the updated date if the follow-up has been delayed and the communication type.

  5. Select Delay (U) to postpone the next follow-up when appropriate. You must provide a reason for the delay, and access depends on your management team’s settings.

Complete the Script

Your management team customizes the script, so your screen may look slightly different from this example.

  1. Review or complete Script (V). For an existing lead, this shows the answers captured when the lead was originally created. For a new lead, ask each question and complete it.

  2. Update Date Needed (W) to match when the lead actually needs storage. For new leads, this defaults to the current date. Use the Calendar Icon to select a different date.

Questions marked with a red asterisk are required and must be completed before you can save the lead.

Update Lead Details

Available dropdown options may vary based on your management team’s configuration.

  1. Review Lead History (X) for key lead-creation details. Select the Information Icon for more information.

  2. Select Lead Type (Y) and choose the correct option. This choice determines the follow-up campaign and all future follow-up scheduling.

  3. Select Payment (Z) to enter a reservation payment when applicable.

  4. Select Exclusion (AA) to view or modify the lead's communication exclusion settings.

  5. Select Ad Source (BB) to identify the source that generated the lead. This is populated automatically for inbound calls and must be selected manually for walk-in leads.

  6. Review Inquiry Type (CC). This is populated as a call for inbound phone leads and must be selected manually for walk-in leads.

  7. Review Date Needed (DD) to confirm the storage date. This syncs with the date needed in the script.

  8. Review Expiration (EE) to confirm when the inquiry or reservation will expire.

  9. Select Marketing (FF) to review or adjust the marketing source.

Depending on the selected lead type, your management settings, or your property management software, Payment (Z) and Expiration (EE) may not be available.

If your company uses text permission prompts, you may see “Did You Receive Permission to Send Texts?” on the Lead Card. You must answer this before saving a new lead.

Add and Review Notes

  1. Enter details in New Note (GG) to add information to the lead record.

  2. Select Quick Responses (HH) to insert a note from a standard response list.

  3. Select Add (II) to save the note to the account.

  4. Select View More (JJ) to open additional notes when more notes are available.

Depending on your company’s move-in settings, Add (II) may not appear. In that case, you can save a single note for new lead move-ins, while multiple notes remain available for existing leads.

Review Inventory

Unit information, availability, pricing, and specials are pulled directly from your management software.

Additional inventory selection options are available with Enhanced Inventory Views, but they may be limited.

  1. Select Inventory Type (KK) to filter the unit list by a specific unit type.

  2. Select Available Unit Selection (LL) to show only available units.

  3. Review Unit Description (MM) for the unit size and type, then select Unit Size to view specific unit numbers.

  4. Review Availability (NN) to confirm the number and percentage of available units for each size.

  5. Select Search (OO) or the Magnifying Glass to check unit availability at other locations.

  6. Review Rate (PP) for the listed unit price.

  7. Update Adj Rate (QQ), if available, to enter an adjusted rate. Select % to see the minimum and maximum allowed range.

  8. Review Tax (RR) and Total (SS) to confirm the final amount.

  9. Select the Special Dropdown (TT) to apply any available promotion designated by your management team.

  10. Select the Checkbox (UU) next to the unit size the lead wants. The first selected unit is highlighted in dark blue and transmitted to your management software. Additional units can be selected in Storable CRM, but are not saved to your management software.

Use Location Tools

The Location tab is available on all lead cards. Your management team may add or customize additional tabs.

  1. Select Get Directions (VV) to open an interactive Google map and guide the lead to your facility.

  2. Select Send Directions (WW) to send turn-by-turn directions to the lead by text or email.

You may need to scroll to the bottom of the screen to view this area of the Lead Card.

Move In A Lead and Save Your Updates

  1. Select the Move-in Icon (XX) to start the move-in process.

This option may not be available, depending on your management settings.

  1. Select Save (YY) to save your updates and send the latest information to your management software.
